REFORMA PILATES
TERMS & CONDITIONS
Welcome to Reforma Pilates. These Terms & Conditions apply to all memberships, class packs, bookings, services and use of Reforma Pilates facilities.
By purchasing a membership or class pack, making a booking, attending a class or using our facilities, you acknowledge that you have read, understood and agreed to these Terms & Conditions and any applicable conditions displayed at the time of purchase.

1. GENERAL TERMS
1.1 Eligibility
Clients must be at least 16 years of age to attend classes independently.
Clients under 16 years of age require consent from a parent or legal guardian and approval from Reforma Pilates management before participating.
1.2 Health & Safety
Clients are responsible for ensuring they are physically and medically fit to participate in classes.
Any relevant injury, medical condition, pregnancy or physical limitation must be disclosed to the instructor before participating.
Where appropriate, clients should obtain medical advice or clearance before participating.
1.3 Instructor Directions
All clients must follow the reasonable instructions and safety directions of Reforma Pilates instructors and staff.
Reforma Pilates reserves the right to restrict participation where there are reasonable health, safety or behavioural concerns.

2. MEMBERSHIPS & PAYMENTS
2.1 Membership Purchase
The applicable membership price, billing frequency, minimum commitment and membership conditions are displayed at the time of purchase.
By completing a membership purchase, the member agrees to the applicable membership conditions and these Terms & Conditions.
2.2 Recurring Weekly Payments
Where a membership is identified as recurring, the member authorises Reforma Pilates and its payment provider to automatically process the applicable membership payment from the nominated payment method each week.
Recurring payments will continue in accordance with the membership terms until the membership is cancelled in accordance with these Terms & Conditions.
2.3 Minimum 12-Week Commitment
Memberships advertised with a 12-week minimum commitment require the member to maintain and pay for their membership for the full initial 12-week period.
2.4 Automatic Membership Rollover
At the completion of the initial 12-week minimum commitment, the membership will automatically roll over into an ongoing flexible week-to-week membership.
Weekly recurring payments will continue at the applicable membership rate until the membership is cancelled in accordance with these Terms & Conditions.
The rollover does not create another 12-week minimum commitment.
2.5 Cancellation Following Minimum Commitment
Following completion of the initial 12-week commitment, 14 days’ written notice is required to cancel an ongoing membership.
Membership payments scheduled during the 14-day notice period remain payable and will continue to be processed.
Membership access remains active throughout the notice period and ends when the cancellation takes effect.
Payments validly processed before the cancellation becomes effective will not be retrospectively refunded.
2.6 Early Termination During Minimum Commitment
Where a member seeks to terminate their membership before completing the applicable minimum commitment period, an early termination amount equal to 70% of the remaining membership payments will apply.
2.7 Memberships Are Personal
Memberships and class packages are personal to the purchaser and cannot be transferred, shared, sold or used by another person unless expressly approved by Reforma Pilates.
2.8 Failed or Declined Payments
Members are responsible for ensuring sufficient funds are available on every scheduled debit date and that their nominated payment details remain valid and current.
A $5 failed payment fee will apply to each failed or declined membership payment.
If payment remains outstanding, the member’s account will be temporarily suspended on the third day of non-payment.
During the suspension, the member will not be permitted to book or attend classes.
The account will remain suspended until all outstanding membership payments and applicable fees have been paid.
Suspension due to non-payment does not cancel or terminate the membership and does not remove the member’s responsibility for outstanding amounts owing under the membership agreement.
2.9 Promotions & Discounts
Promotional offers and discounts are subject to the conditions advertised with the applicable promotion.
Promotions and discounts cannot be combined unless expressly stated otherwise.

3. CLASS BOOKINGS, CANCELLATIONS, CHANGES & NO-SHOWS
3.1 Bookings
All classes must be booked in advance through the Reforma Pilates booking system, app or directly with authorised staff.
All bookings are subject to availability.
3.2 Eight-Hour Cancellation & Class Change Window
Any cancellation, rescheduling or change to an existing class booking must be completed at least 8 hours before the scheduled class start time.
The 8-hour policy applies whether a member wishes to cancel the class completely or simply move, transfer or change their booking to another class, date or time.
3.3 Changing or Moving a Class Within 8 Hours
A class cannot be moved, transferred, rescheduled or changed within the 8-hour cancellation window without the original booking being treated as a late cancellation.
If a member can no longer attend their original booking and requests to move into another class within the 8-hour window, the original booking remains a late cancellation.
Moving or booking into another class does not remove the late cancellation, waive the applicable fee or restore the forfeited class credit.
3.4 Late Cancellations
Any booking cancelled, moved, transferred or changed within 8 hours of the scheduled class start time will be recorded as a late cancellation.
A $15 late cancellation fee will apply and the applicable class credit will be forfeited.
3.5 No-Shows
If a member fails to attend a booked class and has not cancelled the booking before the class commences, the booking will be recorded as a no-show.
A $15 no-show fee will apply and the applicable class credit will be forfeited.
Requesting to move, change or cancel a booking after failing to attend does not remove the no-show or restore the class credit.
3.6 Late Cancellation or No-Show
A class that is not attended will therefore be treated as either:
a late cancellation where the booking is cancelled or a change is requested within the 8-hour window; or
a no-show where the member does not attend and has not cancelled the booking before the class commences.
Changing to another class does not avoid the late cancellation or no-show policy.
3.7 Weekly Membership Allowance
Where a membership provides a specified number of classes per week, any late-cancelled or no-show class will still count towards the member’s weekly class allowance.
The class credit will not be returned or transferred to another class.

4. REFUNDS
4.1 Refund Policy
Membership payments, class packs and class fees that have been validly processed in accordance with the agreed terms are non-refundable, including for:
Change of mind
Non-attendance
Unused classes
Unused membership entitlements
Late cancellations
No-shows
Failure to use the membership
Failure to provide the required membership cancellation notice
4.2 Processed Membership Payments
Membership payments validly processed before a membership cancellation becomes effective are non-refundable.
Cancellation of a membership does not operate retrospectively and does not reverse payments that became payable before the cancellation took effect.

5. MEMBERSHIP HOLDS
5.1 12-Week Memberships
Members on a 12-week minimum commitment may place their membership on hold for a maximum total of 4 weeks during the initial commitment period.
5.2 6-Month Memberships
Members on an applicable 6-month membership may place their membership on hold for a maximum total of 8 weeks during the applicable contract period.
5.3 Hold Requests
All membership hold requests must be submitted in writing with at least 7 days’ notice before the requested hold commencement date.
Holds may be taken in one continuous period or divided into shorter periods, provided the total permitted allowance is not exceeded.
A membership hold does not constitute cancellation of the membership.

6. STUDIO RULES
6.1 Arrival & Late Entry
Clients should arrive at least 10 minutes before their scheduled class to allow sufficient time for check-in and preparation.
Clients arriving more than 5 minutes after the scheduled class start time may be refused entry for safety reasons and to prevent disruption to the class.
Where entry is refused due to late arrival, the booking may be treated as a no-show, and the applicable fee and loss of class credit will apply.
6.2 Mandatory Grip Socks
Non-slip grip socks are mandatory for all classes.
Bare feet and standard non-grip socks are not permitted.
Grip socks are available for purchase at the studio.
Failure to bring the required grip socks does not entitle the member to a refund or replacement class.
6.3 Hot Mat — Mandatory Towel
A full-size towel suitable for covering the exercise mat is mandatory for all Hot Mat classes.
This requirement is in place for hygiene, safety and the comfort of all participants.
Clients arriving without an appropriate towel may not be permitted to participate in the class.
Where available, towels may be purchased from Reforma Pilates.
Failure to bring the required towel does not entitle the member to a refund or replacement class.
6.4 Equipment
Studio equipment must be treated responsibly and used only in accordance with instructor directions.
Any damage, fault or malfunction must be reported to an instructor or staff member immediately.
6.5 Hygiene
Clients must maintain appropriate personal hygiene and comply with studio hygiene and cleaning procedures.
6.6 Studio Access
Access to Reforma Pilates facilities is subject to an active membership or valid class booking and compliance with studio policies.
Reforma Pilates may restrict access where an account is suspended, payment remains outstanding or studio rules have not been followed.

7. PREGNANCY POLICY
For safety reasons, clients who are more than 14 weeks pregnant are not permitted to participate in standard group classes.
Private sessions may be available to provide individualised programming and closer supervision.
Clients are responsible for notifying Reforma Pilates of their pregnancy.
Reforma Pilates reserves the right to restrict participation where there are reasonable health or safety concerns.

8. LIABILITY, RISK & PERSONAL PROPERTY
8.1 Participation
Pilates, Reformer, Hot Mat and fitness classes involve physical activity and inherent risks.
Clients are responsible for participating within their own capabilities and informing instructors of relevant injuries, medical conditions or physical limitations.
8.2 Personal Belongings
Clients are responsible for their personal belongings while attending Reforma Pilates.
To the extent permitted by law, Reforma Pilates is not responsible for loss, theft or damage to personal belongings.
8.3 Liability
To the extent permitted by law, Reforma Pilates, its instructors and staff are not responsible for injury, loss or damage arising from participation in classes or use of studio facilities.

9. CODE OF CONDUCT
All clients must treat Reforma Pilates instructors, staff and other members respectfully.
Bullying, harassment, threatening or abusive behaviour, discrimination, deliberate damage to property or other serious inappropriate conduct will not be tolerated.
Reforma Pilates may refuse entry, suspend access or terminate a membership for serious or repeated breaches of studio rules.

10. WOMEN-ONLY STUDIO
Reforma Pilates operates as a women-only studio.
All clients are expected to respect the privacy, dignity and comfort of other members while using the studio.

11. PRIVACY
Reforma Pilates may collect personal information reasonably necessary to administer memberships, process payments, manage bookings, communicate with clients and maintain health and safety.
Personal information may be provided to third-party service providers where reasonably necessary to operate our booking, payment or business systems, or where authorised or required by law.

12. FORCE MAJEURE
Reforma Pilates will not be responsible for delays, disruptions or cancellations caused by circumstances reasonably outside its control, including natural disasters, public health emergencies, government restrictions, utility failures or other significant unforeseen circumstances.

13. CHANGES TO TERMS & CONDITIONS
Reforma Pilates reserves the right to update these Terms & Conditions from time to time.
Where appropriate, material changes will be communicated through the website, booking platform, app, email or another reasonable communication method.

14. CONTACT & WRITTEN NOTICE
Membership cancellation and hold requests must be provided in writing to Reforma Pilates through an approved communication channel.
